Can we collect weekly training fees and memberships via card/contactless?
Yes! Klubfunder supports collecting training fees and memberships:
Payment Methods Available:
- Card payments (online)
- Contactless payments (via KPOS terminals)
- Recurring payments (weekly, monthly, etc.)
- Instalment plans
Setting Up Training Fees:
- Go to "Services" → "Memberships" or "Training Fees"
- Create a new training fee option
- Set up recurring payment schedule (weekly, etc.)
- Configure pricing and payment options
- Publish for members to purchase
KPOS for Contactless:
- Set up KPOS terminals for in-person payments
- Members can pay at training sessions
- Payments sync automatically with your account
Can we take payments from both members and non-members and categorise/report them by category?
Yes! You can:
Member vs Non-Member Payments:
- Set up services available to everyone (not just members)
- Payments can be categorized by type (membership, training, event, etc.)
- Reports can filter by member status and category
Categorizing Payments:
- When setting up services, assign categories
- Use tags or categories for different payment types
- Reports allow filtering by category, member status, date range, etc.
Reporting:
- Export reports filtered by member/non-member
- Filter by payment category
- See detailed breakdowns in your dashboard
Do you support direct debits or instalment plans?
Instalment Plans:
- Yes! Klubfunder supports instalment payment plans
- Set up memberships/fees with monthly or custom instalment schedules
- Automatic charging on scheduled dates
- Members receive payment reminders
Direct Debits:
- Direct debit support depends on your payment provider
- GoCardless integration supports direct debits
- Contact Klubfunder to discuss direct debit setup

Can we offer split payments (pay some now, the rest later) or monthly instalments for tickets/membership?
Split Payments:
- Some services support partial payments
- Members can pay a deposit, then pay the remainder later
- Configure deposit amounts when setting up services
Monthly Instalments:
- Yes, instalment plans are available for memberships
- Set up monthly payment schedules

For Tickets:
- Ticket sales typically require full payment
- Contact Klubfunder if you need instalment options for tickets

I missed an instalment—how do I pay a missed payment / retry a failed payment?
For Admins Helping Members:
- Go to "Members" → find the member
- View their payment history
- Click "Retry Payment" or "Process Payment" for failed instalments
- Member will be charged immediately
For Members:
- Members can retry failed payments in "My Account" → "Payments"
- Click "Retry Payment" next to failed instalment
- Update payment method if needed
Automatic Retries:
- System automatically retries failed payments
- Members receive notifications about failed payments
- Multiple retry attempts are made before marking as failed
Manual Processing:
- Admins can manually mark payments as received (for cash payments)
- Go to member's account → "Mark Payment Received"
- Enter payment details and date
Stripe says it can't process payments / payment declined—what do we do?
Common Issues:
- Payment provider account issues
- Insufficient funds in member's account
- Card expired or invalid
- Payment provider restrictions
Troubleshooting:
Check Payment Provider Status:
- Verify Stripe/SumUp account is active and connected
- Check for any account restrictions or holds
- Ensure payment provider is properly configured
Member Payment Issues:
- Advise member to check their card details
- Ensure card has sufficient funds
- Try a different payment method
- Contact their bank if declines continue
Platform Issues:
- Check Klubfunder status page for outages
- Verify your plan hasn't exceeded limits
- Check credits balance if applicable
If Issues Persist:
- Contact Klubfunder support with:
- Error messages received
- Payment provider account status
- Affected transaction details
- Support can help diagnose and resolve payment processing issues
